In order to build better supply chains, Kohoku Kogyo Group shall make the following efforts with respect to the procurement from our business partners. We appreciate your understanding and cooperation.

1. Management by Managers

Please carry out quality management, and management of chemical substances in products, with respect to the goods purchased by us.
Please submit the following documents when requested by us to help us ensure that your management system has been established.
(i) Notification of Quality management representative
(ii) Notification of Contained chemical substances management representative

2. Management of change and abolition

Please make application in the designated formats in advance if manufacturing and sales are discontinued, or there are any of the following changes, with respect to the goods purchased by us.
* Please make an application at least one year before an intended change or abolition except when such required period cannot be secured. In that case, please make an application at least six months before such change or abolition.
* Please contact our staff in charge of purchase for designated formats.

Matters subject to application for change
(i) Change in manufacturing places (Including outsourcing)
(ii) Materials used for the first time or change in existing materials
(iii) Change in specification or standards
(iv) Change in processes/procedures
(v) Change in processing methods
(vi) Any other change that may affect quality or characteristics

3. Management for Chemical Substances in Products

We contribute to green procurement corresponding to customers’ needs with respect to the goods purchased by us.
We request you to promote the management of toxic substances and cooperate for our survey request.

4. Traceability management

In the event of quality failure, it is important to ascertain the affected areas and minimize the damage to customers. Please thoroughly carry out the management of the following items.

(i) Please carry out the management of material lots.

  • Acquisition of materials certificate
  • Use of designated materials
  • Prevention of mixture of dissimilar materials and dissimilar lots (thorough conduct of identification management)
  • Please help us for identification, or separate packing, of dissimilar lot products.

(ii) Please carry out the management of manufacturing lots.

  • Please keep process records from input to completion.
  • Please establish the traceability of process records and manufacturing lots.

(iii) Please carry out the manufacturing history management and present us with such histories as necessary.

  • Please manage the traceability of manufacturing lots from material lots for the products for us.

(iv) Please present shipping inspection reports (inspection certificates).

  • Please submit a certificate to each manufacturing lot.
  • When shipping the same manufacturing lots, it is possible to omit to attach the certificates.
  • Please cooperate in submitting the transcript in English when requested.
  • (Lead terminal products) RoHS / REACH compliant products should be mentioned as “RoHS / REACH compliant products” in the certificate.
  • (Optical parts and devices) For designated chemical substance compliant products, please cooperate with the description of "Designated substance compliant products" in the certificates.

* Please contact our staff in charge of purchase for the required items for certificates.

(v) When using contractors and we request it, please cooperate with the submission “NOTICE OF INTENT TO SUBCONTRACT” designated by us.

* Please contact our staff in charge of purchase for designated formats.

5. Notes upon delivery of purchased goods

Please note on the following matters upon delivery of goods purchased by us.

(i) Packing forms free from damage or defilement

* If the designated packing form is presented by us, please follow such packing form.

(ii) Please attach one identification tag to each individual packing.

*If identification tags designated by us cannot be attached, identification tags stating the same information are permitted.

(iii) Unless there is any special circumstance, please enclose a designated delivery note upon delivery.

6. Responsible Minerals Procurement

We are committed to eliminating high-risk minerals that promote conflict or are associated with forced labor and human rights abuses from our products, parts and supply chains. (Specify tantalum, tin, gold, tungsten, cobalt and mica as high-risk minerals).

Please cooperate in the investigation of high-risk minerals. The survey uses the Responsible Materials Initiative (RMI) Conflict Minerals Reporting Template (CMRT) and Extended Minerals Reporting Template (EMRT).

When a customer points out a "risk smelter", we ask the business partners who use the smelter to re-examine the actual situation of the transaction.
